Introduction

The Secretariat General Directorate of the Ministry of Internal Affairs (MIA) is the specialized unit of the Ministry’s Headquarters that ensures:

  • performance of the technical operations related to receiving, recording, sorting, distributing, implementation monitoring, duplicating, handling and selecting documents addressed to the Minister of Internal Affairs, Secretaries of State, Secretary General, Deputy Secretaries General and Minister’s advisers, or sent by them to other structures/organizations and to closing, archiving, compiling inventories, selecting, storing, preserving and using such documents, as appropriate;
  • translation of the correspondence addressed to the Ministry’s management;
  • public relations activities;
  • information and documentation activity;
  • management of the Ministry’s intranet site in terms of the information posted;
  • management of the Ministry’s headquarters’ archive of unclassified documents;
  • organization and conduct of ceremonial activities at the level of the Ministry’s management;
  • implementation of protection measures for the classified information held/handled by the Minister of Internal Affairs, Secretaries of State, Undersecretaries of State, Secretary General, Deputy Secretaries General and advisers to the Ministry’s management, respectively by the staff assigned to the cabinets of the Ministry’s management and also of the classified information held/handled the level of the Directorate;
  • organization of working groups and of meetings held at the level of the Ministry’s management;
  • chairmanship and secretariat services for the Central Commission for the Selection of Documents created by the units of the Ministry’s headquarters;
  • automatic data processing and use through IT procedures

Responsibilities

  • receives, registers, keeps track of, sorts and manages the flow of secretarial documents at the level of the Ministry’s management;
  • manages and monitors the implementation of the Ministry’s management orders regarding the execution of tasks as per written instructions;
  • provides duplication of documents as ordered by the Ministry’s management, in compliance with the legal norms regarding their duplication, registration and handling;
  • performs technical secretariat activities for the Ministerial College and Social Dialogue Sub/Committee;
  • organizes the working groups and meetings held at the level of Ministry’s management;
  • receives, keeps track of, sorts, registers and reviews petitions addressed to the Ministry’s management;
  • drafts, as appropriate, replies to petitions addressed to the Minister of Internal Affairs, Secretaries of State, Undersecretaries of State, Secretary General and Deputy Secretaries General;
  • organizes the reception of citizens/Ministry personnel scheduled for audience at this level;
  • counsels the persons petitioning the Ministry’s management;
  • manages all phone calls received through the Ministry’s „Open Hotline” and „Anti-Discrimination Hotline”;
  • organizes the activities required to ensure the flow of information and documentation in the institution’s particular fields of activity;
  • drafts documentation folders on the specific fields of activity and disseminates them to the interested parties;
  • translates the correspondence addressed to the Ministry’s management;
  • manages the Ministry’s intranet site in terms of the information posted;
  • organizes, manages and processes the documents that constitute the Archives Fund of the Ministry’s headquarters;
  • organizes and conducts ceremonial activities at the level of the Ministry’s management;
  • implements protection measures for the classified information held/handled by the Ministry’s management, the staff assigned to the cabinets of the Ministry’s management and also at the level of the Directorate;
  • organizes the further training of its own staff;
  • performs specific activities with the aim to enforce health and safety regulations at the level of Ministry’s management and at the level of the Directorate;
  • conducts specific activities in order to enforce fire safety regulations at the Directorate’s level;
  • carries out guidance, support and control activities on specific lines of work, at the units within the Ministry’s headquarters and at institutions and structures subordinated to/coordinated by the Ministry;
  • manages and ensures the proper operation of the IT systems for its particular lines of work;
  • provides on-duty personnel for high officials’ cabinets;
